 STEP 1: Consult the reference documents and tools

Before submitting your funding application, please familiarize yourself with:

  • the program rules that interests you (previous page);

  • the documents and web links listed in the Toolbox of the program;

  • the information below.

We also invite you to consult the Accessibility section (footer menu of the FRQS website) and especially the section Computer Compatibility that informs you about the security of your electronic data and suggests optimal versions for browsers and Adobe Reader (necessary to open PDF).

For questions about:

  • rules, management or content of a program, please contact the person responsible for the program, whose contact details are available in the box Do you have questions?

  • technical problem, please contact the FRQS helpdesk whose contact details are available in the Technical Assistance box (below the toolbox).

 STEP 2: Register to the FRQ Electronic Portfolio

If you have not already done so, you must obtain a User account and a password to access the FRQ Electronic Portfolio. This access allows you to:

  • complete and submit an e-form online;

  • attach your detailed contributions to your Canadian Common CV already submitted to the FRQS.

Click on FRQ Electronic Portfolio in the Toolbox. This brings you to the Authentification screen.

  • If you have FORGOTTEN your password, click on Mot de passe oublié ? [You have forgotten your password] and follow the instructions for obtaining your forgotten password.

  • If you DO NOT have a User account / PIN or a password, click on Créer un compte [Registration for access to e-forms] and follow the instructions for obtaining a user account and password.

Although this User account is not confidential, it is linked to a personal password that is strictly confidential. The User account, combined with the password, constitute the key for accessing the FRQ Electronic Portfolio and facilitate communication between organizations and their clientele, while complying with the Act respecting access to documents held by public bodies and the protection of personal information.

 STEP 3: Register for the Canadian Common CV

If you have not already done so, you must register for the Canadian Common CV, even if you are already registered to the FRQ Electronic Portfolio and have an FRQS file in this system.

  1. Go to the Canadian Common CV website (Toolbox).
  2. Once on the Canadian Common CV site, follow the registration instructions.
  3. Once you have completed the registration process, your account will be automatically connected to the Canadian Common CV.

 STEP 4: Create a link between your Canadian Common CV and your FRQ Electronic Portfolio (for the FRQS)

You must create a link between the Canadian Common CV and your FRQ Electronic Portfolio to be able to submit your CV to the FRQS. We recommend that you create this link before filling out your Canadian Common CV online.

To create this link with the FRQS, you must validate your FRQ PIN* in the Canadian Common CV.
* The FRQ PIN is a sequence of 5 letters and 4 numbers shown at the top left of your FRQ Electronic Portfolio

Once this PIN has been validated for the FRQS, the link is permanently established. You do not have to repeat this step each time you use the Canadian Common CV.

  1. Go to the Canadian Common CV website (Toolbox).

  2. In the navigation menu, click Login, enter your username and password and click Login. You will then be redirected to the Welcome page of the Canadian Common CV.

  3. In the navigation menu, click PIN/System Account and follow the instructions.

  4. Once you have validated your PIN, the status Valid will appear in the table, under the FRQS agency.

 STEP 5: Fill in a Canadian Common CV

To submit an online application for funding to the FRQS, you must fill out the Funding CV version for the FRQS, which is available online at www.ccv-cvc.ca.

Co-researchers listed in research grant applications and research supervisors and co-supervisors listed in training award applications must also fill out a funding CV for the FRQS.

  1. Go to the Canadian Common CV website (Toolbox).

  2. In the navigation menu, click Login, enter your username and password and click Login. You will then be redirected to the Welcome page of the Canadian Common CV.

  3. Click on CV and select Funding from the list.

  4. Select the Funding source (FRQS) and the CV type (CV FRQS) click Next.

  5. Click on Load.

  6. Fill out the different sections of the FRQS funding CV by clicking the pencil icon for each section.

 STEP 6: Submit your Canadian Common CV to the FRQS

Once you have finalized your Canadian Common CV, you must submit it to the FRQS. Your CV should not contain any error at this step.

  1. To submit your Canadian Common CV to the FRQS, you must be in the agency's funding CV (step 5). Click Submit on the Funding CV – List of sections page.

  2. Once your Canadian Common CV is submitted to the FRQS, a message will appear to indicate that the file was successfully transmitted.
    It is very important to read the instructions in the confirmation message to complete the next steps.

  3. Within a few minutes, you will be able to confirm the FRQS's reception of your CV by clicking on FRQ Electronic Portfolio (Toolbox). Following the Authentification screen, click on Electronic Portfolio and on Health to access the Accueil du portfolio électronique des FRQ screen. In the left menu, click on the last item CV commun canadien to preview the CV that you just submitted.

  4. If your CV does not appear on this page, you can contact the FRQS helpdesk. Contact information can be found in the Technical Assistance box (below the Toolbox).

 STEP 7: Detailed Contributions

Once you have submitted your CV to the FRQS, you must attach your detailed contributions to this CV in the FRQS Electronic Portfolio. For more information, please consult the document Guidelines for the CV attachment in the Toolbox.

  1. Click on FRQ Electronic Portfolio (Toolbox).

  2. To log on, go to the Authentification page, enter your user account and password.

  3.  Click on Electronic Portfolio and on Health to access the Accueil du portfolio électronique des FRQ screen.

  4. In the left menu, select the CV commun canadien page.

  5. Go to the Fichier joint au CV section. You must delete the file that is available, if any, in order to attach another.

  6. Click on Parcourir to locate your PDF file and click on Attacher.

  7. Once you have attached the file, it will appear in the table. Click on Contributions détaillées in the Nom du fichier column to view the content and make sure you have attached the right file.(make sure your file is not protected by a password and contains no bookmark)

 STEP 8: Complete and submit the FRQS e-forms (Notice, letter of intent and complete application)

The FRQS electronic form (e-form) is one of the main documents required for a complete application for funding.
Please refer to the section Required documents (Documents exigés) for this program (previous page) in order to determine exactly which e-form(s) you must complete. If paper documents are also required, make sure they are sent to the FRQS before the competition deadline.

  1. Click on FRQ Electronic Portfolio (e-forms) (Toolbox).

  2. To log on, go to the Authentification page and enter your user account and password.

  3.  Click on Electronic Portfolio and on Health to access the Accueil du portfolio électronique des FRQ screen

  4. To access a new form, click on En tant que candidat ou titulaire and Concours disponibles.

  5. Select a program category (programme) and the access date (Date d'accès) of the program for which you want to fill out an e-form.
    Note: the next time you log on, any forms that you have begun to fill out and saved before will be available under En tant que candidat ou titulaire and Mes formulaires.

  6. Fill out each section of the e-form.

  7. Submit your duly completed e-form electronically by the competition deadline.

To ensure that the documents were successfully submitted, the form must be error free and all Canadian Common CVs and detailed contributions must be up to date and accessible by the FRQS. If any documents or other forms are missing or not updated, you will not be able to submit the e-form to the FRQS.

Click on Autres statuts on the Mes formulaires page to track the submissions of the individuals listed on your application in real time.

The FRQS will send you a confirmation of receipt within a few days. Competitions results are posted on the FRQS website in May (Home page).
